Terms of Cancellation and Changes

Read the cancellation and change conditions before registering. By registering for the event via the IRMA service, the Navisport service, or the Holvi online store, the participant accepts the event's cancellation and change conditions.

1. Cancellation of Registrations 1.1 If the participant cancels their participation by May 31, 2025, the participation fee will be refunded minus processing costs. A processing fee of 15 € per competition day will be charged for the cancellation. If the participation fee is less than 30 €, a cancellation fee of 5 € will be charged. 1.2 If the participant cancels their participation after May 31, 2025, a refund of the participation fee requires presenting an official medical certificate or other written justification to the event organizer. 50% of the participation fee will be refunded upon submission of an official medical certificate or equivalent. 1.3 If the participant has paid the participation fee using an exercise benefit, the payment cannot be refunded in case of cancellation, according to tax administration instructions. 1.4 The participation fee is determined according to the registration level (entry date). The fee corresponds to the registration level at which the participant registered. If the participant paid and reserved an Emit card upon registration, the rental price of the Emit card is included in the participation fee. 1.5 Registration cancellations must be notified to the competition office at tourinfo@woc2025.fi.

2. Class Change 2.1 Class changes are possible free of charge until May 31, 2025. After that, a handling fee of 15 € will be charged for class changes. Class changes are not possible after Friday, July 4, 2025. 2.2 Costs of class changes until May 31, 2025: 2.2.1 If the participant changes from a more expensive class to a more affordable class, any remaining participation fee will not be refunded. 2.2.2 If the participant changes from a cheaper class to a more expensive class, the difference between the participation fees of the cheaper and more expensive classes will be charged. 2.3 Class changes must be reported to the competition office at tourinfo@woc2025.fi.

3. Changes to the Emit Number 3.1 In competition classes, changing the Emit card number is free of charge until June 22, 2025. You can change the Emit number directly via the IRMA service until June 22, 2025, or by informing our office at tourinfo@woc2025.fi. From June 23, 2025, the change of Emit number can only be reported by email to tourinfo@woc2025.fi. A processing fee of 15 € is charged for the change. 3.2 In open classes, changes to the Emit card number are free of charge. Changes should be notified in advance by email at tourinfo@woc2025.fi or on-site at the info desk.

4. Postponing or Canceling the Event 4.1 If the event has to be postponed due to circumstances or exceptional circumstances (Force Majeure), registrations made and paid for the event so far will automatically be transferred to the new announced date of the event free of charge. 4.2 If the event has to be postponed due to circumstances or exceptional circumstances (Force Majeure) and the participant subsequently cancels their participation, the participation fee will be refunded. A processing fee of 15 € per competition day will be charged for the cancellation. If the participation fee is less than 30 €, a cancellation fee of 5 € will be charged. 4.3 If the event has to be canceled completely due to circumstances or exceptional circumstances (Force Majeure), the participation fee will be refunded. The organizer will charge 15 € per competition day as a processing fee for the cancellation. If the participation fee is less than 30 €, a cancellation fee of 5 € will be charged.

Ocad file for personal use

The ocad file is a national team member and challenge group-specific. The buyer of the ocad file is responsible for ensuring that the map file and any prints made from it are only used for their own training as a national team athlete or official challenge group member. The buyer of the ocad file is responsible for not sharing the file outside or making it publicly available for download. Failure to comply with these terms will result in a ban on using the ocad file and prints made from it. Misuse of the material will result in an additional fee of 2,500 €. Requests via email training@woc2025.fi. The buyer will receive the ocad file within 1-3 days. Send your all controls map to the same email address, if you use your own control flags or plastic stripes etc. Collect your own control flags etc out from the forest after your training session to avoid problems with the landowners! We want to keep our terrains clean. By purchasing an ocad file, you accept the terms of use.

Printed maps

Printed maps of the training package are for personal use. The buyer of the printed map is responsible for using it solely for their own training. The buyer is responsible for not copying it for others to use. Printed maps can be collected at: Kylpylä Hotelli Rauhalahti, Katiskaniementie 8 70700 Kuopio Spa&Hotel Kunnonpaikka, Jokiharjuntie 3 70910 Vuorela Printed maps are with course markings. Control flags are in the forest with small plastic cards with a woc logo and control number on it. They are available for all customers. Failure to comply with these terms will result in a ban on using the map material. Misuse of the material will result in an additional fee of 500 €, but of course the buyer can use the same (once bought) map again. By purchasing a printed map, you accept the terms of use.

PDF for self-printing

Pdf for self printing are for personal use. Send your all controls map via email to training@woc2025.fi, if you use your own control flags or plastic stripes etc. Collect your own control flags etc out from the forest after your training session to avoid problems with the landowners! The buyer of the downloadable and printed map is responsible for not copying it for others to use. Failure to comply with these terms will result in a ban on using the map material.
